Parent Portal Setup Guide

Complete instructions for creating and managing parent accounts

📋 Overview

The Parent Portal allows parents to view their child's grades, attendance, tuition, and receive updates. Each parent account is linked to a specific student and requires unique login credentials.

Create or Edit a Student

Navigate to the Students page

Go to Students Page

•From the sidebar, click "Students"
•Either click "Add Student" to create a new student, or click "Edit" on an existing student

Fill in Parent Information

Scroll to the Parent/Guardian section

Required Parent Information

•Parent Name: Full name of parent/guardian
•Parent Phone: Contact phone number
•Parent Login Email: Email address for portal login (must be unique)

⚠️ Important: The "Parent Login Email" field is what creates the parent account. Make sure it's a valid email the parent can access!

Save and Get Credentials

Copy the login information

What Happens After Saving

•Click "Save" or "Update" button
•A popup will appear with parent login credentials
•Copy both the email and temporary password shown in the popup

🔒 Security Note: The temporary password is only shown ONCE for security reasons. Make sure to copy it before closing the popup!

Share Credentials with Parent

How to Share Login Information

•Email, text message, or print the credentials
•Include the Parent Portal URL: prime-elite-hub-52689b3f.base44.app/parent-login
•Inform parent they will be asked to change password on first login

📧 Sample Message to Parents:

Dear Parent, Your Prime Elite Parent Portal account has been created! Login Email: [email from popup] Temporary Password: [password from popup] Portal URL: prime-elite-hub-52689b3f.base44.app/parent-login You'll be asked to create a new password when you first log in. Through the portal, you can view: • Your child's grades and progress • Attendance records • Tuition and payment information • Teacher notes and updates If you have any questions, please contact the academy. Enters email and temporary password
System prompts them to create a new password
After password reset, they're redirected to Parent Dashboard
They can now view their child's information!

🧪 Testing Tips

Use a test email (e.g., parent.test@example.com) when testing
Open an incognito/private browser window to test parent login without logging out of admin
Make sure the test student has some grades and attendance records so parent can see data
Test the tuition section by creating a tuition record for the test student

❗ Troubleshooting

Parent can't log in:

• Check that the email is spelled correctly
• Verify the student record has a "Parent Login Email" entered
• Make sure parent is using the correct temporary password
• Check that the ParentAccount was created (visible in database)

Lost the temporary password:

• Go to Students page, find the student, click "Edit"
• Look for "Manage Parent Login" button in parent section
• Click it to view or reset parent credentials

Parent sees no data:

• Make sure the student has grades, attendance, or tuition records
• Check that records are linked to the correct student ID
• Verify parent account is linked to correct student
